ADVANCE NOTICE – Scheduled ICT disruption during August 2017

In order to carry out essential and critical maintenance, access to servers and services will be disrupted on

• Saturday 12^th August 2017, 9am – 1pm, widespread disruption
• Sunday 13^th August 2017, all day, widespread disruption
• Sunday 20^th August 2017, all day, SAP systems, minor email delays

Please inform any key users of your systems who would be impacted by this weekend activity and consider implementing your business continuity arrangements where applicable. ICT apologise for the loss of service that this essential work will cause. Saturday 12^th August 2017

Critical Network changes

Systems

• Staff will experience general PC issues such as logging on, logging off, printing, opening and saving document, accessing applications
• GCC Email via outlook will be affected
• GCC Email via remote devices (Blackberrys and Good) will be available but new emails to be sent or received will be delayed
• GCSX/PSN emails will be affected
• SAP, ERIC, Pensions, Capita ONE/Liquid Logic, Coldharbour etc will be affected.
• Access to systems hosted outside of the GCC data network (GCC website, TALIS, etc.) will be affected (from GCC machines)
• Online forms will be unavailable from Saturday through to Sunday e.g. Request a Copy Certificate, Book a van visit to a Household Recycling Centre
• The People’s Network and library printing will be unavailable to the public
• GCC printing will be disrupted
• GCC WiFi will be affected. Guest, GCC_BYD, GCCHealth, and GCC Mobile will be unaffected

Telephony

• GCC ‘Cisco’ VoIP phones – will be affected
• GCC non VoIP Desk phones managed by the ICT Service will affected
• Solidus - out of hours messages will be disrupted
• Voicemail/IVR

o   IVR, Helplines – will be disrupted

o   Voicemail will be disrupted

Essential and critical software patching

Systems

• Periods when staff will experience general PC issues such as  logging on, logging off, printing, opening and saving document, accessing applications – as dependent servers are patched and rebooted
• GCC Email via outlook will be affected - this will be minimal, users should be able to work without significant disruption
• GCC Email via remote devices (Blackberrys and Good) will be available but new emails to be sent or received will be delayed
• GCSX/PSN emails will be affected
• SAP, ERIC, Pensions, Capita ONE/Liquid Logic, Coldharbour etc will be affected.
• Access to systems hosted outside of the GCC data network (GCC website, TALIS, etc.) will be mostly unaffected
• Online forms will be unavailable e.g. Request a Copy Certificate, Book a van visit to a Household Recycling Centre.
• The People’s Network and library printing will be available to the public
• GCC printing will be disrupted

Telephony

• GCC ‘Cisco’ VoIP phones – will be affected; inbound or outbound calls, may fail, wait 10 seconds and retry, in progress calls will be unaffected
• GCC non VoIP Desk phones managed by the ICT Service will unaffected
• Solidus, out of hours messages will be disrupted, business/process owners should request alternate greetings are activated where applicable
• Onebox

• IVR, Helplines – will be disrupted
• Voicemail will be disrupted, this could cause new recordings to be truncated
