New SAP system: what this means for payroll services

Do you work in administration, business management, or school leadership and regularly initiate or approve e-forms for payroll?  If yes, please read the information below and watch the short video.  It will help you get ready for the upcoming software changes to your payroll system that will affect your school from March 31, 2026.

Below you’ll see a video that demonstrates what’s new, what’s improved, and how to complete the key tasks you’re responsible for in the new system.  You can also read the answers to questions (FAQs) that staff at other schools have directly asked us; they may answer some of your questions too.

The video and FAQs cover:

•  How to view payslips in the new system

•  How to complete the updated Schools E-Form

•  How to submit a New Starter Form, including the work schedule

•  How to complete a Contract Change Form

•  How to submit an Absence Form

•  How to transfer payment files using the new Schools SIMS app (*the application for uploading school invoices).

Background

All schools who purchase payroll services from GCC will benefit from the upcoming transition to a cloud-based SAP system from 31 March 2026.  This project is called One SAP which is part of a bigger programme of change at GCC called the One Programme.

Why is this change happening?

The current SAP system is hosted on physical servers and we’re moving to a safer, more resilient software model which is hosted in the cloud.  The support for our current SAP service is ending which means we must make the switch.

What are the benefits of the new system and payroll system?

  •       The system is cloud-based, which means better security, more up-to-date and improved reliability (and it can be automatically updated).
  •       It gives us the benefits of the new technology with the familiarity of the current system.
