What personal data do we use?

Depending on your relationship with Gloucestershire County Council, we may collect, use and share:

  • Identification details (name, address, date of birth, photograph).
  • Contact details (email address, landline, and mobile phone numbers).
  • Employment history (including start and end dates with previous employers and with the council), absences, skills, qualifications, experience, and references.
  • The terms and conditions of your employment.
  • Payroll and financial details (including details of your bank account, National Insurance Number, and information about your remuneration, including entitlement to benefits such as pensions or insurance cover).
  • Equal opportunities monitoring information (including information about your ethnic origin, gender, sexual orientation, health and religion or belief).
  • Health and wellbeing information (including medical or health conditions, and whether or not you have a disability for which the council needs to make reasonable adjustments) for occupational health and statutory obligations.
  • Pre-application data (name and email address collected via our jobs website, or at recruitment events) to provide appropriate employment opportunity information via email.
  • Environmental data to support the council’s emissions commitments including employment-related data used to calculate carbon emissions (for example, commuting patterns, work location, fuel expense claims).
  • Information about your marital status, next of kin, dependants, and emergency contacts.
  • Information about your nationality and right to work in the UK.
  • Information about your criminal record where legally required for specific roles.
  • Details of your schedule (days of work and working hours) and attendance at work.
  • Details of periods of leave taken by you, including holiday, sickness absence, family leave and sabbaticals, and the reasons for the leave.
  • Details of any disciplinary or grievance procedures in which you have been involved, including any warnings issued to you and related correspondence.
  • Assessments of your performance, including appraisals, performance reviews and ratings, training you have participated in, performance improvement plans and related correspondence.
  • Details of trade union membership.
  • IT usage and security logs from council provided IT equipment or systems for cybersecurity purposes (including websites visited, and location information from which council IT services have been accessed).
  • For elected members: name, photograph (including for access cards), contact numbers and GCC email address, political party (as publicly declared), next of kin and emergency contacts, dietary requirements for official meetings, device/allocation details, bank details for allowance payments, and register of interests (public record).
  • For candidates prior to election: name and political party (as publicly declared) only. Addresses and email addresses for candidates are held by district councils acting on our behalf for election administration.
